Hours: Full-time, 36.25 hours per week
Reports to: Chief Executive Officer (CEO)
Location: WFH with some travel across the UK (occasional overnight stays required)

The British Nuclear Medicine Society (BNMS) is seeking an experienced and proactive Events and Conferences Officer. The key responsibility of this role is working with the Chief Executive Officer on organisational arrangements for BNMS Conferences and partnership conferences whether in- person or virtual, Including the delivery of our prestigious annual conference each Spring. You will need to have significant experience in event organisation, be able to prioritise tasks and think on your feet. In short, doing everything needed to deliver high quality and successful events. This position requires strong organisational skills, attention to detail, and the ability to work both independently and as part of a team. The role will require work away from home for in-person events.

Terms and Conditions
• Pension: Defined contribution scheme. Employee contributions of up to 5% of salary will be matched by the Society.
• Holiday: 25 days per annum (pro rata) + bank holidays + office closure between Christmas and New Year.
• Travel: Occasional UK travel and overnight stays required. Time off in lieu will be provided for travel time.

Responsibilities

1. Events Delivery Management
• Set up and maintain project boards for each event (e.g., using ASANA) to manage timelines, tasks, and staff responsibilities.
• Create event timetables and manage schedules.
• Liaise with internal staff and external partners, including volunteer event organisers.
• Oversee event logistics: venue setup, AV, catering, and breakdown.
• Prepare onsite staffing schedules to ensure adequate coverage and manageable workloads.
• Act as the main point of contact for conference partners and sponsors.
• Organise room layouts, equipment needs, and catering arrangements.
• Conduct post-event evaluations and produce summary reports.
• Prepare materials for attendees and key stakeholders.
• Arrange shipping of conference materials.
• Support online events by liaising with speakers, sponsors, and platform providers.
• Respond to attendee enquiries and communicate event details clearly.

2. Exhibition & Sponsorship Management
• Develop and implement sponsorship sales plans.
• Negotiate and secure sponsorship agreements.
• Meet sponsorship revenue targets as set by the CEO.
• Manage the online booking form and exhibitor communications
• Ensure delivery of sponsor benefits and manage all exhibition logistics.
• Maintain positive relationships with sponsors and exhibitors to encourage repeat business.
• Liaise with the exhibition manager to develop strategic and innovative floor plans.
• Manage exhibitor and sponsor support pre-event and onsite.
• Coordinate with venues and suppliers for exhibition setup and operations.

3. Oversee Abstracts Coordination (with BNMS Team)
• Oversee the abstract submission and selection process, including platform setup, scoring coordination,
• Communicate with presenters.
• Manage scoring processes and the awarding of prizes.

4. Oversee Delegate Management (with BNMS Team)
• Manage the online registration platform and delegate communications.
• Coordinate on-site registration during the event and ensure access to virtual platforms where applicable.

5. Oversee Invited Speaker Liaison (with BNMS Team)
• Work with the Scientific and Education Committees or local organising committees to invited and support speakers.
• Provide additional support with speaker coordination, exhibitor registration, and venue liaison.

6. Oversee Marketing (with BNMS Team)
• Collaborate with the BNMS team to implement effective event marketing strategies
• Manage and update event web listings on the website and other platforms
• Assist with event marketing and coordinate promotional materials and activities


Working with the CEO
Supporting the CEO on the following tasks:
• Securing venues, catering, and accommodation.
• Supporting site visits alongside the CEO and Honorary Secretary.
• Liaising on third-party contracts and event supplier agreements.
• Organising key social functions such as: Awards Dinner; Pre-Conference Members' Reception; President’s Reception; Conference After-Party
• Helping to identify and apply for subventions or external funding.
• Collaborating to ensure appropriate insurance and risk assessments are in place.
• Monitor budgets with the CEO to ensure value for money and cost-effective decision-making.

Job Requirements

Essential Skills and Experience
• Proven experience in event and/or conference planning.
• Strong written and verbal communication skills.
• Ability to provide excellent service to attendees, sponsors, and stakeholders.
• Experience with event platforms or project management tools (e.g., ASANA, Oxford Abstracts).
• Experience and Knowledge of working with various Microsoft packages.
• Familiarity with both in-person and online event delivery.

Qualifications (Essential)
• Good general level of education (to GCSE level or equivalent to include Maths and English grade C of above)
• Degree level qualification in business administration, event management or similar or equivalent knowledge and experience

• Project management qualification
