The Role:

The ICE is seeking a highly organised and motivated Executive Assistant to provide top-level support to the Director General and President. In this fast-paced environment, you will be the primary point of contact, ensuring the smooth running of the Director General's and President's diaries, arrangements and trips thus enabling them to work effectively.

Responsibilities

  • Diary Management: Manage schedules for the Director General and President, including prioritising appointments, preparing briefings, and booking travel and accommodation.
  • Communication & Information Management: Coordinate communication between the Director General's office and other departments, draft and respond to correspondence, and research and prepare briefing materials.
  • Meetings & Events: Organise meetings, including room bookings, agendas, and minutes, and manage logistics for events such as dinners.
  • Travel & Expenses: Arrange travel and accommodation for the Director General and President and manage office expenses within budget.
  • General Support: Provide general administrative support to the Director General's office, liaise with internal and external stakeholders, and perform other duties as required.

Job Requirements

  • Experience: Some experience with board administration, multi-tasking in a fast-paced environment, and working with senior staff is preferred.
  • Skills: Excellent organisation, communication, interpersonal, and IT skills, with a high level of proficiency in Microsoft Office applications, Teams and Sharepoint. Familiarity with Board pack software such as Diligent would be beneficial (but can be learnt on the job)
  • Qualities: Discretion, strong work ethic, ability to prioritise and manage deadlines, and a proactive approach to problem-solving. Also someone who can manage and enjoy managing a fast paced environment and multiple  demands on your time
