The Programme Office ensures IWM delivers all its projects and programmes to an agreed set of project management standards to achieve business benefits and high-quality outcomes on time, to budget and within specification.

Reporting to the Head of Programme Office, the role supports the management of the day-to-day activities of the Programme Office. It provides guidance on IWM project management policies and processes, and collaborates with department leads to develop new plans for projects and programmes. This post also provides leadership on specific project work, principally acting as the manager for IWM’s Smarter Working programme.

The role ensures that the Programme Office is governed and structured to meet the needs of the business, the teams, and individual projects in line with recognised project management methodologies. The Programme Office contributes to IWM’s strategic planning process. It helps to identify and understand the dependencies between projects, teams, and departments across the museum. The role contributes to this by facilitating the coordination and communication of project reporting, maintaining an IWM project portfolio plan, and tracking major milestones for projects to provide quarterly assurance reporting. The role also holds responsibility for developing and maintaining a central archive of project risk, issues and change logs, along with Lessons Learned, research project briefs and project evaluations. Working with this data, the role is core to ensuring that key learnings from past activity are captured and used to inform all future project planning. The role is active in assisting with the development of project management standards, processes and tools and provides guidance to project and programme managers in their use.

The Programme Office team also ensures that the transition from live project into business-as-usual status is well managed and that change management is properly embedded through the delivery of each project. The role will work closely with operational teams and project staff to support them in managing these activities.

Responsibilities

Smarter Working Programme:

The Programme Office Manager will undertake the programme management for IWM’s Smarter Working programme, ensuring that there is an appropriate structure and delivery focus at both programme and project level.

The Smarter Working Programme is being delivered through several key projects including office space rationalisation and improved digital collaboration tools including a new Electronic Records Management system. The Programme Office Manager will ensure that the Smarter Working programme is kept on track against the delivery plans, is managing its risks and issues to ensure that the appropriate benefits are delivered. They will work autonomously within professional guidelines and the overall framework of the IWM policies and procedures.

The Programme Office Manager will work with the Audience Research and Insight Manager to create a central archive of key research and evaluation documents including project evaluations, evaluation plans, research project briefs and social impact reports. This new library will allow teams to engage with past research and ensure that findings continue to be used productively.
